Executive Assistant/Project Coordinator (part-time, 10-15h/week)

As a part-time Executive Assistant/Project Coordinator, you will play a key role in driving execution forward by managing priorities, keeping teams aligned, and ensuring nothing falls through the cracks.

The Role

As our Executive Assistant/Project Coordinator (contract, part-time), you’ll work closely with the leads to keep operations, projects, and day-to-day execution on track. Your strong suit must be real, hands-on project management.

Key responsibilities include:

  • Take detailed notes in meetings, track action items, follow up, and ensure nothing falls through the cracks.

  • Own scheduling, calendar management, and prioritization across multiple stakeholders.

  • Set reminders, manage tasks, track dependencies, escalate when needed.

  • Use tools like ClickUp to structure project work, monitor progress, and keep visibility.

  • Help with project planning: breaking down tasks, assigning owners, estimating timelines.

  • Occasionally handle administrative tasks (document formatting, email drafting, travel planning).

  • Suggest process improvements to reduce friction or inefficiency.

Who might be a good fit

You might be a great fit for this role if you:

  • Have demonstrable experience managing multiple projects and keeping them on track

  • Are comfortable with ambiguity and stepping into gaps

  • Are highly organized, detail-oriented, and reliable

  • Have experience with remote collaboration (async work, communication clarity)

  • Have strong written and verbal communication

  • Are self-motivated and take ownership

  • Preferably have familiarity with tools like ClickUp (or similar), Google Suite, Slack

  • Are available to overlap with U.S. Central or Eastern time zones (for meetings, check-ins, etc.)

We don’t require any formal PM credentials. What matters is that you’ve done the actual work of managing projects and execution.

Role details

Type: Contract, part-time (10-15h/week).

Rate: $30/hour

Location: Remote within US or Canada (CT or ET timezone). We have a slight preference for candidates from or around the Nashville (TN) or Birmingham (AL) areas, but it’s not a requirement.

Start date: As soon as possible
